Responsibilities
A)Purpose
To provide administrative, clerical and secretarial support to a group of Legal Service Officers in the Law Reform Directorate.
B)Tasks and responsibilities
As a temporary Management Support Officer, your duties will include:
- Scheduling of meetings – arranging both external and internal meetings, conferences with officers and clients locally and overseas. This involves coordinating the schedules of parties to the meeting, booking conference or meeting rooms, setting up equipment in the room, making copies of materials, assisting to procure refreshments, etc.
- Diary management Keeping a record of all meetings and appointments scheduled and continually updating LSOs’ schedule e.g. on e-diary.
- File management – this involves ensuring that all relevant correspondence, minutes, drafts, research material and other documents given by the LSO are filed in the correct file in the correct order, and monitoring and recording file movements, where necessary (confidential matters and below).
- Preparing and editing of PowerPoint presentation slides, preparing of tables e.g. comparative tables or schedules using Excel, etc.
- Answer and deal (where possible) with both external/internal telephone inquiries.
- Preparation of administrative returns eg. meeting attendances, claims, time sheets (if any) for LSOs, and when approved, forwarding to relevant units/committees in good time for recording.
- Required to do 2-way Proof reading of the Revision of Acts .
C)Technical skills
- Must have sound IT and Office skills including Word, Powerpoint and Excel
- Must have strong typing skills of at least 70 wpm with good accuracy/attention to detail (will be taught the LEAP. legislative house-styles).
- Strong organisational and diary management skills are essential
D)Personal Attributes
- Confidential, discreet and proactive
- Willing to learn and to be helpful, with good people skills.
- Must be able to work as part of a team and on own initiative/unsupervised for a variety of tasks included in the job specification. Flexible and willing to work outside of normal office hours when necessary.
- Sound communication skills with the ability to communicate with internal and external clients at all levels.
- Be capable of drafting routine correspondence and emails etc. Must be meticulous and careful.
Requirements
- GCE "A" or "O" Level Certificate or NITEC/Certificate in Office Skills; or Higher Nitec in Accounting or Certificate in Business Studies;
- Good interpersonal and communication skills;
- Competent in MS Word, Excel and Powerpoint;
- Well organized with a keen eye for details, meticulous and committed to delivering high
- quality work;
- Strong in administrative skills;
- Self motivated; and
- Able to work independently as well as in a team.
